Run The Race is an online and in person run coaching business based in Sydney, Australia, operating the website runtherace.au. This policy explains what personal information Run The Race collects, why it is collected, how it is used, who it is shared with, and how you can access or correct it.
Run The Race handles personal information in line with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).
1. What is collected
Run The Race only collects information needed to coach you, to answer you, or to run the business.
Information you give directly
- Name, email address and phone number, through the contact form, the booking page or by email
- Your running background, goals, race plans and training history, when you sign up for coaching
- Your age, height, weight and general health information, where you choose to provide it so that training can be prescribed safely
- Payment details, when you buy coaching or gear
- The content of emails, messages and coaching calls
Information collected automatically
- Standard website analytics through Squarespace, including pages viewed, approximate location, device type and referring site
- Cookies set by Squarespace to keep the site working and to measure traffic
Information from connected services
- Training data you choose to sync, such as GPS watch activities, heart rate, pace and distance, where you link a device or training platform to your coaching account
2. Why it is collected
- To write and deliver your training plan
- To review your training and give you feedback
- To answer your questions and provide coaching support
- To take bookings and process payments
- To send you coaching emails and reports you have signed up for
- To send marketing email, only if you have opted in
- To improve the website and understand what visitors find useful
- To meet legal and tax obligations
3. Health information
Coaching involves information about your body. Run The Race may collect details such as previous injuries, current niggles, illness, pregnancy, or medical advice you have been given, where you choose to share it.
- Health information is sensitive information under the Privacy Act and is treated accordingly
- It is only collected with your consent, and only where it affects how you should train
- It is used solely to prescribe training safely and is never sold, traded or shared for marketing
- Run The Race is a coaching service, not a medical service. Nothing provided is medical advice, and you should see a qualified health professional about pain, injury or illness
4. Who your information is shared with
Run The Race does not sell your personal information and does not trade it.
Information is shared only with the service providers needed to run the business:
- Squarespace, which hosts runtherace.au, the online store and the mailing list
- Acuity Scheduling, which handles appointment bookings
- Final Surge, the coaching platform where training plans and training data are held
- Payment providers, which process card payments. Run The Race does not store your full card details
- Email providers, used to send coaching reports and newsletters
- Video call providers, used for coaching calls
Some of these providers store data outside Australia, including in the United States. By using the service you consent to that transfer. Run The Race chooses established providers with their own published privacy protections.
Information may also be disclosed where the law requires it, or where it is necessary to prevent a serious threat to someone's life, health or safety.
5. Marketing email
- You are added to the Run The Race mailing list only if you opt in
- Every marketing email identifies Run The Race and carries a working unsubscribe link
- Unsubscribe requests are actioned promptly and always within 5 working days
- Coaching emails that are part of a paid service are not marketing email, and unsubscribing from the newsletter does not stop them
6. Social media and video
The website embeds video from YouTube, and Run The Race is active on social platforms. When you watch an embedded video or interact with a Run The Race account, that platform collects information under its own privacy policy, not this one.
Comments you leave publicly on a Run The Race social post are public. Replies may be sent to those comments. Questions about your body, an injury or your health are not answered publicly.
7. How information is protected
- Access is limited to Wayne Calvert and to the platforms listed above
- Accounts are protected by passwords and, where available, two factor authentication
- Files are stored on encrypted devices and backed up
- Training and coaching records are kept while you are a client and for a reasonable period after, so that your history is available if you return
- Information no longer needed is deleted or de identified
No method of transmission or storage is completely secure, and absolute security cannot be guaranteed.
8. Children
Run The Race runs coaching clinics for children. Where a participant is under 18, information is collected from and about a parent or guardian, and consent is obtained from that parent or guardian. Children's information is never used for marketing.
9. Your rights
You can, at any time:
- Ask what personal information is held about you
- Ask for a copy of it
- Ask for anything inaccurate to be corrected
- Ask for your information to be deleted, subject to any records that must be kept by law
- Withdraw consent for marketing email
- Ask a question or raise a concern about how your information is handled
Requests are actioned within a reasonable time and normally within 30 days. There is no charge to make a request.
10. Complaints
If you believe your privacy has been mishandled, contact Run The Race first using the details below. A written response will be provided within 30 days.
If you are not satisfied with that response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
11. Changes to this policy
This policy may be updated from time to time. The current version is always available at runtherace.au/privacy, and the date at the top shows when it last changed.
